1. Scope and Definitions
Space CHECKiN ("we", "us", "our") operates the direct booking platform at www.spacecheckin.com (the "Platform") for short-term and extended-stay rentals of vacation properties (each, a "Property") located currently in Québec and Ontario, Canada.
- "Host" means the owner or authorized manager of a Property listed on the Platform.
- "Guest" or "Renter" means the person booking and occupying a Property.
- "Stay" means the reservation period confirmed through the Platform, which may be short-term (under 32 nights) or extended stay (32 nights or more).
By creating an account, browsing, or completing a booking, you agree to these Terms of Use and Booking Conditions ("Terms").
2. Platform Role
- Marketplace and facilitation. We provide a booking and payment facilitation platform connecting Guests with Hosts. Unless expressly stated, we are not the owner or manager of Properties and do not control on-site operations.
- Separate Host rules. Each Property may include additional house rules, fees, or requirements set by the Host (e.g., pet policy, hot tub rules). Those rules form part of your booking.
- Local compliance. Guests and Hosts are responsible for complying with applicable laws, permits, zoning, registration, taxes, and bylaws in Québec and Ontario.
3. Accounts, Identity, and Eligibility
- Accuracy. You must provide accurate, current, and complete information, including legal name, contact details, payment method, and any required identity verification.
- Age. You must be of legal age to contract in your province of residence.
- Occupancy list. Only the registered Guest and declared occupants may stay at the Property.
4. Payment Policy
4.1 Reservation Deposit
50% of the rental cost is required 30-day prior to your check-in date. This non-refundable deposit "locks" your exclusive reservation upon successful payment authorization.
4.2 Balance
The remaining 50% of the rental cost is due 7 days before your arrival date. If your reservation is made within 30 days of arrival, 50% of the rental amount will be charged. If your reservation is made within 7 days of arrival, 100% of the rental amount will be charged.
4.3 Security Deposit
- A minimum security deposit hold of $500 CAD will be placed on your credit card prior to check-in to cover breakage, damage, missing items, excessive cleaning, rule violations, or unpaid fees. The Host may require a higher deposit; the exact amount will be shown at booking.
- You will receive a security deposit request before arrival; complete the requested information within 48 hours of receiving the email to avoid cancellation.
- If damage or extra charges occur, we or the Host may charge up to the value of the loss. Unused holds are released after post-stay inspection; bank release times may vary.
4.4 Pricing and Taxes
- All amounts are in Canadian dollars (CAD) unless stated otherwise.
- Applicable taxes, including GST/HST/QST and any municipal accommodation taxes, will be charged as required by law.
5. Modification and Cancellation Policy
5.1 Modifications
Requested by Guests:
- Any modification to a confirmed reservation requested by the guest (including changes to dates, times, number of guests, accommodations, or services) is subject to approval by the Platform and/or the Host.
- The Platform and/or the Host may accept or decline any modification request at their discretion and are under no obligation to approve requested changes.
- If a modification request is declined, the original reservation (and its applicable cancellation and refund terms) will continue to apply unless and until otherwise changed or cancelled in accordance with these Terms.
5.2 Canceling a Reservation
- More than 30 days before arrival: no cancellation fee; amounts paid are refundable (excluding any non‑refundable third‑party costs expressly disclosed).
- 30 days to 8 days before arrival: 50% of the total booking value is non‑refundable.
- 7 days or fewer before arrival: 100% of the total booking value is non‑refundable.
- Refunds within these windows are at the Host–Platform's discretion, as stated on the listing and booking confirmation. Security deposit holds related to breakage/damage are not captured or are released if no claim applies.
5.3 Extended Stays (32 nights or more)
The above policies apply unless a Property lists a different extended-stay policy at booking. For extended stays, partial-month charges, early departures, and mid-stay cancellations are non-refundable once the stay has commenced unless otherwise stated by the Host's rules.
Extended stays are temporary accommodations for vacation/short-term occupancy only and are not intended to create a residential tenancy beyond what applicable law provides for temporary lodging.
6. Check-in, Check-out, and Access
- Check-in and check-out times are stated in your confirmation. Early check-in/late check-out may incur fees and are subject to availability.
- You are responsible for safeguarding keys, fobs, codes, or access devices; lost items may incur replacement costs and locksmith fees.
7. Guest Responsibilities and Use of Property
- Condition and cleanliness. Leave the Property in substantially the same condition as at arrival, including basic tidying (dishes, garbage in designated bins, windows/doors secured). Additional cleaning or spa/hot tub maintenance fees may be charged if cleanliness and usage instructions are not followed.
- Occupancy limits. Do not exceed the maximum occupancy shown in your booking. Unauthorized visitors, gatherings, events, or parties are prohibited unless expressly permitted in writing.
- Quiet hours and neighbors. Respect quiet hours, condominium/strata bylaws, building rules, and neighborhood norms. Fines from building or municipality due to your conduct may be charged to you.
- Smoking and vaping. Smoking or vaping inside any Property is strictly prohibited. Evidence of indoor smoking/vaping may result in retention of the security deposit and additional remediation charges.
- Pets. Pets are only permitted if the listing expressly allows them and any pet fee is paid. You are responsible for pet-related damages or extra cleaning.
- Utilities and amenities. Use appliances, fireplaces, BBQs, spas/hot tubs, pools, and similar amenities safely and according to posted instructions. Misuse may result in damage charges and safety risks.
- Prohibited uses. Illegal activity, hazardous materials, commercial use, subletting, and any activity that violates law or building rules are strictly prohibited.
8. Breakage, Damage, and Reporting
- Property issues before or during stay. If a major issue makes the Property uninhabitable, you will be refunded 100% of amounts paid for unused nights or relocated to a comparable Property subject to availability; no additional compensation will be provided.
- Reporting. Promptly report any breakage, damage, or malfunction to Space CHECKiN via 1-438-969-0606 or [email protected]. Failure to report may increase your responsibility.
- Damage resolution. Upon reasonable evidence of Guest-caused damage, missing items, excessive cleaning, rule violations, or unpaid charges, we or the Host may capture part or all of the security deposit and, if necessary, charge the payment method on file for amounts exceeding the deposit.
9. House Rules, Cleaning, and Fees
Additional fees may apply for:
- excessive cleaning;
- odor remediation;
- unauthorized pets;
- lost keys/fobs;
- rule violations (e.g., smoking, parties);
- hot tub/spa draining and refill due to misuse;
- municipal or building fines caused by your actions;
- late check-out without authorization.
Fee schedules may vary by Property and will be applied reasonably based on documented loss and market rates.
10. Health, Safety, and Maintenance
- You accept normal risks associated with vacation rentals, including stairs, decks, natural surroundings, winter conditions, and the use of amenities such as BBQs, fireplaces, spas, and pools.
- Winter conditions. In Québec and Ontario, winter weather may affect driveways, walkways, and access. Hosts make reasonable efforts for snow and ice management, but you must exercise caution and use provided equipment (e.g., salt/sand, shovels) when applicable.
11. Privacy and Communications
- By booking, you consent to receive transactional communications regarding your reservation and stay. Our Privacy Policy explains how we collect and use personal information.

12. Compliance With Local Laws and Bylaws
Guests are responsible for complying with all municipal bylaws (e.g., short-term rental registration numbers, noise bylaws, trash, parking restrictions). Fines attributable to Guest conduct may be charged to the Guest.
13. Fraud Prevention and Security
We may perform identity verification, payment screening, and fraud checks. We may cancel bookings that fail verification, in which case amounts paid (excluding non-refundable third-party costs, if any) will be refunded.
14. Overstays
Unauthorized overstays may be charged at two times the average nightly rate plus any consequential damages (e.g., relocated next Guest, locksmith, management time), and may be treated as trespass as permitted by law.
15. Platform Availability and Changes
We may modify listings, content, and features and make system updates. We are not liable for outages or interruptions beyond our reasonable control.
16. Liability and Disclaimers
- To the maximum extent permitted by law, Space CHECKiN and its affiliates are not liable for indirect, incidental, special, consequential, or punitive damages, loss of use, data, goodwill, revenues, or profits, arising from or related to your use of the Platform or a Property stay.
- Except as expressly stated in these Terms, stays are provided "as available." Hosts are responsible for the condition and accuracy of their listings.
- Nothing in these Terms excludes liability that cannot be excluded under applicable law.
17. Indemnity
You agree to indemnify and hold harmless Space CHECKiN, its affiliates, and personnel from claims, damages, fines, costs, and expenses (including reasonable legal fees) arising from your breach of these Terms, violation of law or third-party rights, or misuse of a Property.
18. Dispute Resolution
- Good-faith resolution. Contact us promptly to attempt informal resolution of any dispute related to your booking or stay.
- Venue and law. These Terms are governed by the laws of the province where the Property is located (Québec for Properties in Québec; Ontario for Properties in Ontario) and the federal laws of Canada applicable therein. Courts located in that province shall have exclusive jurisdiction, subject to any consumer protection provisions that mandate otherwise.
19. Changes to Terms
We may update these Terms from time to time. The version in effect at the time of booking applies to that booking unless changes are required by law.
